Show Proposals
All show proposals and production staff must meet the minimal requirements as listed by the Thieves’ Guilde. Petition(s) may accompany a proposal for consideration to ideas that deviate from the specified requirements. These petitions will be answered in one week and returned. If a petition was rejected an acceptable coarse of action will be included and a one week time table given to make any necessary corrections and resubmit the petition.
When a member of the Directors’ Committee is affiliated with a proposal as the Director, Assistant Director, Fight Choreographer or Author (or other area in which the DC determines that individual is too involved with a proposal) that member is not eligible to vote on those show selections and may not be allowed to sit in on the presentation of other teams. If the same member serves in the same capacity on every proposal submitted, the DC may allow that member to have a vote. All DC members will review petitions and all DC members will be at the discussion about the selection of a proposal. The DC will make it’s recommendation to the executive board no later than one week after proposals, during which time additional information may be requested from proposing teams.
The DC has asked that Executive Board members do not serve on any proposals or have any input to proposals prior to the recommendation of a proposal. The Executive board acts as a check and balance to the DC any must maintain it's objectivity if it is fulfill this responsibility.
The DC chair may not serve on a production team as a director.
No Confidence
In the event of a vote of “no confidence” on all proposed shows and/or production teams, the Directors Committee is required to provide a show and staff for that production.
- The DC will list their top three choices for director to request to put together a production staff and show proposal.
- The Chair of the DC will then contact the individuals (starting with the top choice 1st) regarding their request.
- When one agrees, the DC will set a meeting date for the Director to review/present their show proposal and production staff with the committee.
- If all three refuse, a member of the DC will be appointed Director.
- If no member of the DC is able to direct, the decision goes to the Board of Directors.
Production Evaluations and Director Removal
The DC will conduct periodic evaluations on each Thieves Guilde show during the rehearsal process. The responsible committee member and dates for evaluations will be established before the first rehearsal, but will not be released to the production staff. The committee member will evaluate the progress of rehearsal, complete an evaluation form, review the evaluation with the director and other key production staff, and submit a copy to the DC chair as well as to the director.
If there is cause for concern by the DC due to the evaluation, the DC Chair will address the problems with the director and offer DC assistance to help the director (as needed) to make the necessary improvements. If the director shows no concern and refuses assistance, the DC will notify the Board of Directors President and request an official review.
If there are concerns related to safety (i.e. injuries, inadequate med kit/water, dangerous weapons) the committee member will take immediate action to secure the situation and ensure no one is in emanate danger. The committee member will also notify the Safety Coordinator who will take the necessary steps to correct the problem.
In the event that the production continues to degrade, the DC must notify the President and request for the removal of the Director. The President will then call a meeting with the DC and the Director to inform him/her that he/she is being removed. Then both the President and DC will meet with the production team to inform them of the situation and select a new director.
The director of a show is ultimately responsible for all aspects of a show. If a production team member is the cause of a problem but the director is unwilling or unable to adequately address the issue the DC will still request the removal of the director
Necessary Removal of Production Team members
DC members will put notes into Rehearsal Report and make their recommendations to the Director.
- A member of the DC will visit rehearsals of Thieves’ Guilde production on a standard schedule according to the schedule of the production. (i.e. for a normal Hoggetowne rehearsal schedule visits would likely be every three weeks.)
- While visiting rehearsal, the DC member will fill out a report detailing the progress and problems they observed while at rehearsal.
- The DC member will meet with the production’s Director no later than 72 hours after rehearsal, but preferably as soon as possible to discuss their report.
